Step 2: Selecting an estate agent
When choosing a letting agent consider their opening hours, when they will be available to conduct viewings, their high street presence and what kind of marketing your property will receive. These are critical to obtaining the maximum rental value for your property.
You should also check if your agent will organise your government-required Energy Performance Certificate (EPC) on your behalf or if you need to arrange this yourself? You are responsible for making this document available to prospective and future tenants.
Step 3: Property Management
Property Management is the key to reaping maximum rental returns on your property. Many tenants insist on renting managed properties and are often prepared to pay a premium for this.

Your dedicated Property Manager will look after the general day-to-day management and more complex issues such as emergency repairs, collection of rent, transfer of utilities and providing a point of contact for your tenants.
Step 4: Presenting your property
First impressions count, making the presentation of your property critical to a successful let.
Consider addressing any DIY jobs you have been meaning to get done, add a fresh coat of paint where necessary and try to declutter to make rooms appear larger. When presenting a good quality property, you will attract a better-quality tenant and keep maintenance costs down.
Hindhead’s' team of dedicated professionals will then take photographs and write comprehensive property descriptions, all in just one visit.
Step 5: Preparing your property for tenancy
Before you let your property for the first time you must obtain a professional and comprehensive inventory to ensure any issues can be resolved fairly at the end of tenancy. This will set out the condition and contents of the property. Hindhead will carry out a professional inventory on your behalf which will be signed by the tenant upon move in.
Step 6: Marketing your property
To find your perfect tenant you need to give your property maximum exposure across a wide range of media.

Step 7: Accompanied viewings
Our longer opening hours are essential to maximise viewing opportunities for your property many of our viewings are carried out after work and at weekends. Accompanied viewings also mean we can use our expertise to help let your property.
Our offices are open Monday to Saturday 08:30- 18:00 and viewings can be booked by appointment outside of these hours where required
Step 8: Receiving an offer
Hindhead Property will work hard to ensure that we find you a suitable tenant, who matches your given guidelines.
All tenants are thoroughly checked, with credit history and previous landlord references.
As soon as an offer is received, we will contact you to discuss all details of the applicant, where you can decide if you are happy to proceed.
Step 9: Offer agreed
Once you have agreed we offer the following depending on the service that meets your needs:

Basic Tenant Find Service:
Our Basic Tenant Find Services consist of the following:
- Professional photos of your property with a wide lens camera
- Advertising on the Hindhead Property website, as well as Zoopla and Rightmove. Property details are also sent to our database of over 900 applicants currently searching in Plymouth and the surrounding areas.
- Tenant Referencing (at no extra charge to the landlord) conducted by a third party professional referencing company.
- A Dedicated Property Manager to keep you updated on viewings and feedback.
- Once a tenant is found, we will create Tenancy Agreements and Guarantor Forms (if applicable) and arrange for the new tenants to come into our office to sign the agreement, after conducting Right to Rent Checks and ensuring the tenants have set up a standing order for their rent and purchased contents insurance. We will then release the keys to the tenant.

Rent Collection Services:
Our Rent Collection Services are 5% of the rent per month plus VAT. For this, we will chase any late payments of rent and will deal with any enquiries regarding the rent from tenants.
Fully Managed Services:
Our fully managed services included all of the services above for Tenant Find and Rent Collection, we also include the following in addition to our other services:
- Management of all tenant queries and maintenance (using your preferred contractors if you have them, or our trusted team of local contractors).
- Inspections, 1 after the first month then every 3 months, followed up by reports and photographs of the property.
- Emergency out-of-hours contact number for your tenants
Step 10: Completion
Upon completion, keys will be released to the inventory clerk to carry out the inventory which will be signed by the tenant on move in day and a pre-move in check will be carried out to ensure the property is ready. The tenancy agreement is prepared, and all the information is emailed out the tenant who also receives a call to confirm their move in appointment.
Upon move in we invite your new tenants into one of our three offices to sign their agreement. All funds are received the day before the move in to ensure that the appointment runs smoothly. Hindhead Lettings staff check right to rent documents and keep copies of tenant’s ID's, contents insurance, standing orders and then the agreements are witnessed.
For managed properties, we provide the tenant with contact details of their dedicated Property Manager and for Let only all landlord contact details are provided in the tenancy agreement.
Going above and beyond, we then accompany our new tenants to the property and carry out a check in appointment. On this appointment we demonstrate the fire alarms, carbon monoxide alarms and where the stop cock is for emergencies. All meters are read, and readings recorded. We check that the boilers are on and that the hot water is working and walk through the property with the tenant. We then sign to say that the safety checks have been done and the tenant is happy with the condition stated on the inventory. We never walk away from a property until we ensure the new tenant is happy in their new home.
